Who we are, and what this covers
MealRecap is a product of Matrix Software Solutions. This policy covers the MealRecap service: the text-message interface, the MealRecap web pages, meal logging and correction, reports, Avery, sharing, and subscription management.
MealRecap is a consumer service. You hold your own account as an individual — there is no employer account, no company administrator, and nobody between you and us who controls your records or answers requests on your behalf. Matrix Software Solutions is responsible for the MealRecap service, subject to final legal review.
What we collect
- Your mobile number, which is how you sign in and how the service reaches you.
- Optional email and profile or contact details, where you provide them.
- Authentication and session information — verification codes, their outcome, and trusted-session records for the browser you use.
- Meal descriptions, corrections, ingredients and nutrition records, including the revision history that lets a correction be made without losing what was first recorded.
- Meal photographs and the technical metadata that accompanies them.
- Goals, preferences, and your Avery profile and memory settings.
- AI requests and results — what was sent for extraction, the structured result, the confidence and uncertainty recorded with it, and usage records.
- Subscription, invoice and payment-status records.
- Payment tokens and processor references. Card details are entered directly into CardPointe's hosted payment interface and are not stored by MealRecap.
- Sharing information — the contact details of anyone you share a report with, what you granted them, and the access log for that grant.
- Device, browser, security, diagnostic and audit information.
- Consent records, held separately for verification, operational service messages, and optional marketing.
What we use it for
- Providing and securing the service, and verifying that you control your phone number.
- Recording and organising your meal entries, and supporting corrections.
- Estimating nutrition and preserving the uncertainty in those estimates rather than hiding it.
- Producing your Day, Week and Month reports.
- Providing Avery.
- Managing your subscription and answering support requests.
- Providing the read-only sharing you choose to set up.
- Preventing abuse and troubleshooting faults.
- Improving MealRecap.
- Sending the operational messages needed to run the service.
- Sending marketing only where you separately opted in, and only until you withdraw that.
Who processes it for us
These are the providers MealRecap is built on:
- Matrix Software Solutions / MyBusinessWorkspace infrastructure — the platform MealRecap runs on.
- Microsoft Azure — hosting and storage.
- Azure AI Foundry — the AI models used to read meal descriptions and photos.
- USDA FoodData Central — public reference data for foods and nutrients.
- Telnyx — text messaging.
- The configured email infrastructure — report and account email.
- CardPointe / CardConnect — hosted payment entry, tokenization and processing.
MealRecap does not connect to your Gmail or Microsoft mailbox, and does not read your email or calendar.
How long we keep things
- Meal photos: up to 30 days after a successful capture, and sooner where deletion applies earlier.
- Photos never appear in Day, Week or Month reports, or in a shared report.
- Deleting a photo removes the stored image bytes and any usable locator for them. A minimal record that the deletion happened is kept as audit evidence.
- Shared report access expires 90 days after the recipient first opens it. The recipient's contact record and the access history remain after expiry.
- Your meal ledger, revision history, nutrition records, consent records, billing records, and security and audit logs are kept on their own schedules, which are not the same as the photo schedule.
Still to be decided: retention periods other than the 30-day photo rule and the 90-day sharing rule above. Those two are enforced by the software today; the rest await policy and legal completion.
Sharing a report
- You may give someone read-only access to your Day, Week, Month or All report views.
- Access expires automatically 90 days after they first open it.
- You may revoke it, resend the invitation, or reactivate it.
- The identifiers in a sharing link identify a route; they do not by themselves grant access. A recipient still has to verify.
- A viewer cannot reach your Settings, your billing, your photos, your meal entries, or any owner control. They can read the report you shared and nothing else.
Messages, and the three separate permissions
MealRecap treats three things as different, because they are:
- Verification. One automated text confirming you control your number. Signing in does not sign you up for anything else.
- Operational service messages. Setup, meal-log responses, clarification questions, account notices and report notifications — agreed to when you activate a paid subscription, because these are how the service works.
- Marketing. Optional, off unless you turn it on in Settings, and never a condition of purchase.
MealRecap may offer optional marketing communications. Where applicable these require your separate affirmative consent, and you can withdraw it at any time. Accepting a shared report does not create marketing consent, and neither does paying, subscribing, or verifying your number.
Replying STOP stops texts; replying START resumes the messages you have permitted. Because a single STOP reaches both kinds of message, it stops marketing and operational texts alike — it does not distinguish between the two permissions, and it does not delete your account or your records. What STOP means for your subscription and your continued browser access is set out in the Terms.
Estimates, not measurements
Nutrition figures in MealRecap are estimates produced from what you describe or photograph, matched against reference data. They are not measurements, and MealRecap does not claim to identify every food or quantity correctly. Where a value is uncertain it is shown as a range or marked unknown rather than presented as a precise number.
MealRecap is for general wellness and organisation. It is not medical care, and Avery is an AI guide — not a dietitian, a doctor, or an emergency service.
Your controls
- Review and correct any food entry, and change your profile and goal settings.
- Change your communication preferences, including optional marketing, in Settings.
- Reply STOP to stop texts and START to resume permitted messages.
- Cancel your subscription and manage your account.
- Revoke a share at any time.
- Use MealRecap in the browser even with texting turned off.
- Ask us a privacy question, and exercise any access, correction or deletion rights that apply to you.
Still to be decided
These are open and are deliberately not stated as facts anywhere above, because publishing an unreviewed answer is worse than publishing none:
- Whether MealRecap will state that data is never sold, or never used for advertising.
- Retention periods other than the 30-day photo and 90-day sharing rules.
- The privacy contact address for MealRecap.
- Governing jurisdiction.
- Statutory-rights language, and which regimes it must cover.
- International-transfer language.
- Children's privacy and the minimum age for an account.
- Any security assurance beyond a description of the measures in use.
